How to Add Active Marketing Sources in RentCafe/Yardi

Understand why leads silently fail to route and how to fix it by adding active marketing sources in Yardi.


Applies to: Properties using Yardi with RentCafe as their lead routing integration
Symptom: Leads submitted through your property website, landing pages, or ads are not appearing in your CRM

When a prospect submits a lead, MultiHub routes it to your Yardi CRM and tags it with a marketing source — a label identifying where the lead came from (e.g. "Property Website," "Paid Search Ad," or "PPC"). The lead travels this path:

MultiHub → RentCafe API → CRM IQ → Yardi

For the lead to be accepted, that source label must already exist in Yardi as an active source on your property. If it doesn't, Yardi rejects the lead before it ever reaches your inbox — with no notification to you or your team.


How to Add Active Marketing Sources in Yardi.

The Sources list is managed in Yardi's property Functions — not in RentCafe Site Manager. Changes made here sync to CRM IQ, which makes them available to the RentCafe API.

If you're not sure which source names to add, contact your Repli CSR — they can tell you exactly what MultiHub is sending so you can match it in Yardi.

  1. Log in to Yardi Voyager with your property administrator credentials.
  2. Open your property's Functions menu.
  3. Go to Sources inside Functions.
  4. Add your active marketing sources. If you're unsure what fields are required or how to format source names in Yardi, contact Yardi support for guidance.
  5. Save your changes. Once saved, they sync to CRM IQ and become available through the RentCafe API for incoming leads.

Which Sources Need to Be Added.

The Active Marketing Source name and the DNI Source name within Yardi/RentCafe must match exactly. This is the mismatch that causes leads to fail.

⚠️ Exact match required. If the Active Marketing Source name and the DNI Source name differ in any way, the lead will be rejected.

Your Repli CSR can confirm what's currently configured on the MultiHub side. If you're unsure how your sources are set up in RentCafe, contact Yardi support.


Why This Happens.

Marketing sources in Yardi live in two separate places, which makes it easy to miss during initial setup:

Location Purpose
Property Functions → Sources The master list of active sources your property accepts. A lead must match one of these or it will be rejected.
Lead Attribution & DNI (RentCafe Site Manager) Matches UTM parameters and website referrers to the correct Active Marketing Source.

Both need to be configured with matching names. If a source exists in the DNI list but not in the Active Marketing Sources list — or the names differ between the two — leads will still fail.


Who Can Make This Change.

This change is made directly in Yardi Voyager by a property or portfolio administrator. If you don't have access to your property's Functions in Yardi, contact your Yardi account administrator. For help with the change itself, reach out to Yardi support.
